Facility Use Policy

Complimentary use of the meeting rooms at BCAR Headquarters, 1452 Old York Road, Warminster, Pennsylvania are available for BCAR members in good standing for the benefit of the membership during BCAR business hours 8:30 am to 4:30 pm on Monday through Friday. 

Use of the facilities cannot violate the anti-trust and anti-discrimination policies of BCAR. The room may not be used for recruiting purposes and may not be used for issues that could result in negative media publicity resulting in harm to BCAR’s reputation. Scheduling priority is given to all Association activities. 

Audio-Visual and wireless technologies are available on a complimentary basis. Staff will assist with connection to the LCD and sound systems.

No outside events may be booked more than 60 days in advance, and rooms cannot be placed on hold prior to the 60-day advance window.

The meeting rooms must be left the way they were found.    Groups may request that the arrangement be changed for a fee, or they can move the tables and/or chairs themselves as long as they are placed back in their original position. 

Groups using the meeting rooms can provide their own refreshments and use outside catering.  Groups are responsible for cleaning up after themselves and leaving the facility as they found it, which includes wiping down tables and removing bagged trash to the outside waste container.  A fee will be charged to any group in violation of the usage policy.  The Association reserves the right to decline the reservation request of any group that has violated this policy on a previous occasion. The user is responsible for any damages caused by the user or by those attending their event.

Alcohol may not be served at any activities approved under this policy without an additional written agreement between the member and the Association, specifically allowing the serving of alcohol.  In this instance, the Association may also require of the member the purchase of an alcohol liability insurance policy.

Meeting room reservation inquiries should be directed to the Director of Member Services at 215-956-9176, extension 107.  After receiving confirmation that the time and date requested is available, groups must fill out a Facilities Reservation Request (APPENDIX III) and fax it to 215-956-9298 or email to [email protected].
